Connexy Inc. (hereinafter referred to as 'the Company') establishes this Privacy Policy (hereinafter referred to as 'this Policy') to appropriately handle user information including personal information of users (hereinafter collectively referred to as 'Personal Information, etc.') acquired in the service 'Connexy Beta Version' (hereinafter referred to as 'this Service') provided by the Company.

Article 1 (Scope of Application)

This Policy defines the policy regarding the handling of Personal Information, etc. acquired by the Company in relation to this Service, and applies to all persons who use this Service.

Article 2 (Definition of Personal Information)

'Personal Information' in this Policy refers to information defined in Article 2, Paragraph 1 of the Personal Information Protection Act.
That is, it means information about living individuals that can identify specific individuals by name, date of birth, or other descriptions (including those that can be easily identified by collating with other information), or information that contains personal identification codes.

When laws and regulations are revised, this Policy shall be interpreted according to such definitions.

Article 3 (Collection of Personal Information, etc.)

In providing this Service, the Company may acquire users' Personal Information, etc. through the following methods.

  1. Information provided by users themselves: Information that users voluntarily input and provide, such as account registration for this Service, profile settings, information input when participating in events and spaces, responses to posts and surveys, and feedback submission.
  2. Information automatically acquired during use: IP addresses, cookies, access dates and times, browser information, OS and device information, usage status (browsing history, click operations, stay time, message history, etc.), and other information related to the usage environment.
  3. Information acquisition through cooperation with external services: When users cooperate with external services such as Google and Facebook, profile information that users have permitted on such services.

Article 4 (Purpose of Use)

The Company uses the acquired Personal Information, etc. for the following purposes.

  • For providing, operating, authenticating, and verifying identity of this Service
  • For planning and operating events and spaces, and for contacting and following up with participants
  • For improving the Service, enhancing quality, and developing functions
  • For recommending events and functions according to users' interests and preferences, and for improving convenience
  • For responding to inquiries from users
  • For responding to unauthorized use and violations of this Service, and for ensuring security
  • For announcements of surveys, new functions, and campaigns (when voluntary consent is given)
  • For other business execution incidental to and related to the above purposes

Article 5 (Provision to Third Parties)

The Company will not provide users' Personal Information, etc. to third parties except in the following cases.

  • When there is consent from the person
  • When based on laws and regulations
  • When necessary for protecting life, body, or property of persons and it is difficult to obtain consent from the person
  • When necessary for improving public health or promoting sound development of children
  • When there is a request for cooperation from national institutions, local public entities, or those commissioned by them, and obtaining consent from the person would cause hindrance
  • When providing information to our business contractors within the necessary scope (we will require appropriate handling from contractors and strive to supervise them as necessary)

Furthermore, the Company may use or provide information acquired after processing it into a format that cannot identify individuals (statisticalization, anonymization, etc.) for purposes such as research in cooperation with academic institutions and external partners, service improvement, and AI technology development in the future.

Supplementary Notes on Generative AI Features

  1. When referencing or using information within this Service for generating answers, summaries, suggestions, etc. through generative AI features, the Company will, in principle, design such features to reference and use only the information that the user using the feature can view within this Service (based on visibility and permissions such as publication settings, connection status, and participation in spaces/events).
  2. To the minimum extent necessary for providing generative AI features, the Company may reference the content entered by the user and the information that the user can view within this Service (which may include profile information such as education and work history, and information related to spaces/events in which the user participates). In addition, only chat messages explicitly selected by the user (e.g., those selected for memoization or summarization) may be sent, together with system instructions and generated results, to the Company's contractors selected by the Company (e.g., large language model providers) for processing.
  3. The Company will use such information only under conditions whereby the information sent to such contractors will not be used for training (including fine-tuning) of their general-purpose models or for improving their services, pursuant to contracts with such contractors or settings provided by such contractors.
  4. Regarding retention of transmitted information (e.g., logs) by such contractors, the Company will, in principle, adopt settings or contractual conditions under which transmitted information is not stored (or is deleted within the shortest possible period), which are equivalent to so-called "zero data retention" conditions. However, information may be retained for a short period to the minimum extent necessary for preventing abuse, responding to incidents, or complying with laws and regulations.
  5. The Company will select a form of processing for generative AI features that is, in principle, conducted within Japan. If such contractors handle Personal Information, etc. outside Japan or provide it to third parties located outside Japan, the Company will take necessary measures in accordance with the Act on the Protection of Personal Information and other applicable laws and regulations, including providing required information, assessing the relevant external environment, and obtaining the user's consent where required.
  6. In the future, for the purpose of improving the quality of generative AI features, the Company may use input content and generated results for analysis and improvement after clearly notifying users and providing a mechanism for users to opt out. The specific handling in such cases will be determined separately by the Company or published through revisions to this Policy.

Article 6 (Security Management Measures)

The Company will take necessary and appropriate security management measures to prevent leakage, loss, damage, unauthorized access, etc. of Personal Information, etc., and will continuously review and strive to improve them.

Also, when the Company outsources part of its business to external parties, it will require appropriate handling of Personal Information, etc. from contractors and strive to supervise them as necessary.

Article 7 (Use of Cookies and Analysis Tools)

The Company uses access analysis tools such as Google Analytics to understand the usage status of the Service and make continuous improvements. Google Analytics uses cookies for data collection.

This may automatically collect users' access information and operation history. The collected information does not include information that identifies specific individuals and is used for statistical analysis.

For details on Google's handling of information, please refer to the Google Analytics Terms of Service page and Google Policies and Terms page. Users can restrict information collection through their own browser settings or opt-out functions provided by Google.

Article 8 (Changes to Privacy Policy)

The Company may change the content of this Policy as necessary. The changed content will be notified by posting within this Service or on the Company's website.

When changes affect users' important rights, we will notify in advance through appropriate methods.

Article 10 (Requests for Disclosure, etc. of Retained Personal Data)

When there are requests from users themselves for disclosure, correction, addition, deletion, suspension of use, suspension of provision to third parties, etc. regarding Personal Information, etc. held by the Company, we will respond within a reasonable range in accordance with laws and regulations. Depending on the content of the request, fees may be charged.
